The privacy policy for recruitment

It is important that the people who use the service (“users”) feel confident and are informed about how we handle the user’s personal data in the recruitment process. We strive to maintain the highest possible standards when it comes to the
protection of personal data. We process, manage, use and protect the user’s personal data in accordance with these privacy guidelines (“privacy guidelines”).

1. General

We are the data controller in accordance with the applicable privacy legislation. The users’ personal data is processed for the purpose of managing and facilitating the recruitment of employees for our clients.

2. Collection of personal data

We are responsible for the processing of the personal data that users contribute to the service, or for personal data that we obtain in other ways in connection with the service.

When and how do we collect personal data?
We collect personal data about users from users when users:

We collect data from third parties, e.g. Facebook, Linkedin and through other public sources. This is called “sourcing” and is carried out manually by our employees.

In some cases, existing employees can make recommendations about potential applicants. Such employees will add personal information about potential applicants. In cases where this is done, the potential applicant is considered a user related
to these privacy guidelines, and will be informed of the processing.

The different types of personal data that are collected and processed

The categories of personal data that can be collected through the service can be used to identify natural persons from names, e-mails, photos and videos, information from Facebook, LinkedIn accounts and other social media accounts, answers
to questions asked through the recruitment, titles, education and other information that the user or others have provided through the service. Only information that is relevant to the recruitment process is collected and processed.

Purpose and legality of the processing

The purpose of collecting and processing personal data is to administer recruitment. The legality of the processing of personal data is our legitimate interest in facilitating and promoting recruitment.

Personal data that is processed for the purpose of obtaining analyses or market research is always made unidentifiable. Such personal data cannot be used to identify a specific user. Thus, such information is not considered personal data.

Consent from the registered

User consents to the processing of their personal data for the purpose of the controller handling the recruitment. The user consents to personal data being collected through the service when users:

  • a) submits an application through the WISEGLOBALJOBS website, adds personal information about himself, either personally or using a third-party source such as Facebook or LinkedIn or other social media.
  • b) when they connect to the recruitment department and add personal information about themselves in person or by using a third-party source such as Facebook, LinkedIn or other social media.

The user also consents to the controller obtaining publicly available information about the user and compiling it for use in recruitment purposes.

The user agrees that the personal data collected in accordance with the above a) and b) will be processed in accordance with the sections below on Storage and transfer and as long as your personal data is processed.

The user has the right to withdraw their consent at any time by contacting the controller through the contact details listed under 9. However, exercising this right may mean that the user cannot apply for a particular job or otherwise
use the service.

Storage and transfer

The personal information obtained is stored and processed within the EU/EEA, or a third country which the European Commission considers to have an adequate level of protection, or is processed by suppliers who have entered into binding
agreements that fully comply with the legality of third country transfers or with other suppliers with sufficient security measures to protect the rights of those registered with information that is transferred. To obtain documentation
of such adequate security measures, contact us using the contact information listed in Section 9.

As long as your personal data is processed

If a user does not object in writing to the processing of their personal data, the personal data will be stored and processed by us for as long as we deem it necessary in connection with the purposes stated above. Please note that an applicant
(user) may be interesting for future recruitment. For this purpose, we may store users’ personal data until they are no longer of value for potential recruitment. If you as a user do not wish to have your personal data processed for
this purpose (future recruitment), you can contact us via the contact information in section 9.

3. User rights

Users have the right to request to request information about the personal data processed by us. This is done by notifying us in writing using the contact information in section 9 below. Users are entitled to one (1) free copy of the processed
personal data belonging to them. For additional copies requested, the controller has the right to charge a reasonable fee based on the administrative costs of such request.

Users have, if necessary, the right to correct inaccurate personal data. This is done with a written request via the contact information in section 9 below.

The user has the right to demand deletion or restriction of processing, and the right to object to processing based on legitimate interest under certain circumstances.

The user has the right to revoke any consent to processing the user has given to the controller. However, exercising this right may mean that the user cannot apply for a particular job or otherwise use the service.

Under certain circumstances, the user has the right to data portability, which means a right to obtain the personal data and transfer it to another controller as long as this does not affect the rights and freedoms of others.

The user has the right to complain to the supervisory authority regarding the processing of personal data relating to him, if the user believes that the processing of the personal data violates the legal framework in the Personal Data
Protection Act.

4. Security

We prioritize personal integrity and work actively to ensure that the personal data of users is treated with the utmost care. We use measures that can reasonably be expected to ensure that the personal data of users and others is processed
safely and in accordance with these privacy guidelines and the EU’s privacy regulation.

However, the transfer of information over the internet and mobile network cannot be done without risk, and all transfers take place at the own risk of the person transferring the information. It is important that users also take responsibility
for ensuring that their information is protected.

5. Transfer of personal data to third parties

We will not sell or otherwise transfer users’ personal data to third parties.
We can transfer users’ personal data to:
  • • our contractors and sub-contractors acting as our processors and sub-processors in accordance with our instructions for the provision of the Service;
  • • authorities or legal advisers on suspicion of criminality or misconduct, and
  • • authorities, legal advisers or other actors, if required by us in accordance with the law or the authority’s order.

We only transfer users’ personal data to third parties we trust. We carefully select our partners to ensure that the user’s personal data is processed in accordance with the applicable data protection legislation. We cooperate with the
following categories of processors of personal data company which delivers the service, server and hosting companies, reference companies for e-mail, companies that collect information, analytical service companies and other companies
regarding the delivery of the service.

6. Collected information (non-identifiable personal data)

We may share collected information with third parties. In such cases, the collected information has been collected from information obtained through the service, and may for example consist of statistics on internet traffic or the geological
location for the use of the service. The information collected does not contain information that can be used to identify individuals, and is therefore not personal data.

7. Cookies

When users use the service, information about the use can be stored as cookies. Cookies are passive text files that are stored in the browser on the user’s device, e.g. a computer, mobile phone or tablet, when using the service. We use
cookies to improve the user’s use of the service, as well as to obtain information about, for example, statistics about the use of the service. This is done to secure, maintain and improve the service.

Users can disable the use of cookies at any time by changing the local settings on their devices. Deactivating cookies can affect the experience of the service, for example disabling some functions.

8. Changes

We have the right to make changes or add anything to the privacy policy at any time. The latest version of the Privacy Policy will always be available through the Service. A new version is considered to be communicated to users when the
user has either received an email informing the user of the new version (using the email provided by the user in connection with using the service), or when the user otherwise way is informed about the new guidelines for privacy.
